Our responsibilities during Covid-19

At Viking International Phototours, we operate our photography workshops and tours with the safety of our participants and guides as our highest priority, so our guides are First-Aid, CPR, AED trained and certified by the Icelandic or American Red Cross.

In response to the Covid-19 pandemic, we are taking extra precautions to protect our participants, guides, and the communities we visit:

      • Our guides are either vaccinated against Covid-19, hold a certificate of previous COVID-19 infection, or will ensure they have returned a negative PCR-test for COVID-19 within 72 hours of all photography workshops/tours outside Iceland
      • Our small group sizes (generally less than 12 participants) already help provide a safe environment to enjoy the beauty of nature – we will now also social distance whenever possible, keeping our group away from other tours and crowds
      • We will regularly disinfect common touchpoints in our vehicles (such as handles) with hospital-grade wipes, alcohol, or bleach-based cleaner
      • In the unlikely event that someone has Covid-19 symptoms, we will do our best to quarantine the participant in a timely manner and arrange for transportation to the nearest medical center for testing and evaluation
      • We will continue monitoring the situation and ensuring that we have the latest information on safety guidelines and prevention.

Your responsibilities during Covid-19

Keeping you safe is not just up to Viking International Phototours – all our participants have a role to play too! We ask all participants to comply with the following measures to ensure their safety and that of others:

      • Do not attend a photography workshop/tour if you, or someone you have been in contact with, have had Covid-19 in the previous 14 days
      • Before any workshop/tour outside of Iceland, provide one of the following:
          • Certificate of vaccination against COVID-19
          • Certificate of previous COVID-19 infection
          • Certificate of a negative PCR-test for COVID-19 administered within 72 hours of the photography workshop/tour
      • Advise your guide immediately if you are feeling unwell or start to exhibit symptoms during a workshop/tour, and follow any instructions they provide
      • Have Travel Insurance in place in case of illness or an emergency – and while government travel restrictions and border entry rules can change at short notice, we highly recommend that your insurance includes Trip Cancellation coverage
      • Bring a supply of face masks which are to be worn indoors, such as in shops and other service outlets
      • Carry hand sanitizer with you and use it frequently
      • Maintain a distance of at least 2-meters away from individuals who are not part of your photography workshop/tour
      • Don’t touch other participants belongings or camera gear
      • Adhere to all regulations, restrictions, and safety measures implemented by authorities in the region of travel
      • Stay up to date on government travel restrictions for your country of destination, plus returning to your home country – rules can change with short notice regarding destination entry requirements, Covid-19 testing, and quarantine measures.

We understand that during these unprecedented and uncertain times, people can feel uneasy about making travel plans.

Until further notice, unless otherwise stated on individual workshop pages, all photography workshops will have the following cancellation and refund policy.

 

Please contact us at info@vip-ehf.com as soon as possible if you wish to cancel your photography workshop.

 

At the time of booking, you will pay a deposit to reserve your spot.

We will confirm if your photography workshop will be proceeding 60 days before the start date, at which point full payment of the remaining balance will be required.

 

Please note that Viking International Phototours are not liable for travel expenses incurred to reach the workshop destination or any other personal expenses incurred in preparing for your workshop. For this reason, we recommend you do not book travel or make any trip-related purchases before the workshop has been confirmed.

 

Cancellation requests and refunds will be processed according to the below:

      • More than 60 days notice from the start date of the workshop: Full refund minus $300 USD fee*
      • 30 - 60 days notice: 50% refund minus $300 USD fee – the remaining funds will be held as a credit*
      • Less than 30 days notice: No refund – 100% will be held as a credit*

Credits can be transferred or used towards our other photography workshops, self-drive packages, or tours for up to 2 years from the date of cancellation.

 

*Please note that some of our workshops with partner companies/third parties may have non-refundable deposits, which will not be refunded or credited to you.

Until further notice, unless otherwise stated on individual workshop pages, all photography workshops will have the following cancellation and refund policy:

 

If we cancel a workshop, we will offer you the choice between:

      • Applying your funds towards a different workshop, tour, or self-drive package with us; or 
      • Receiving a full refund minus $300 USD fee.

If we need to reschedule a workshop due to Covid-19 (e.g., new travel restrictions in the destination country), we will offer you the choice between:

      • Retaining your spot on the rescheduled workshop;
      • Transferring to a different workshop if there is availability; or
      • Canceling your spot on the rescheduled workshop - we will process a 50% refund, with the remaining 50% held as credit which can be transferred or used towards our other photography workshops, self-drive packages, or tours for up to 2 years from the date of cancellation.

Please note that some of our workshops with partner companies/third parties may have non-refundable deposits, which will not be refunded or credited to you.

 

Vaccination requirements depend on the country of destination.

We will accept certificates of vaccination against COVID-19 from all countries.

The vaccination must be complete with all required doses according to the vaccine administered.

Certificates must fulfill the following requirements:

      • First name, last name, and date of birth on the certificate must match the travel documents of the person attending the workshop/tour
      • Must have all fields completed in full.

We will accept certificates of previous COVID-19 infection in either paper or electronic format that confirm:

      • Positive PCR-test (RT-PCR) results for SARS-CoV-2/COVID-19 that is older than 30 days
      • Presence of antibodies (IgG) against SARS-CoV-2/COVID-19 measured by ELISA serologic assay or equivalent*

Certificates must fulfill the following requirements:

      • First name, last name, and date of birth on the certificate must match the travel documents of the person attending the workshop/tour
      • Should be in English or Icelandic
      • Must be documented from a laboratory (clinical diagnoses are not valid)
      • Must show the date the test was performed and the result.

Please note that rapid diagnostic tests (RDTs) are NOT accepted (i.e., antigen or antibody tests).

*Equivalent tests to ELISA are EIA, ECLIA, ELFA, CMIA, CLIA, CLMIA

It is already a requirement from Icelandic Border Control and the Chief Epidemiologist that all visitors to Iceland provide either a certificate of previous COVID-19 infection or a vaccination certificate against COVID-19. In addition, all arriving passengers must undergo at least one COVID-19 screening test and quarantine while awaiting their results.

In other words – if the conditions of our workshops/tours cannot be met, participants won’t be allowed entry into Iceland anyway!

The final decision of whether a certificate is valid is at the discretion of Viking International Phototours.

If a participant presents a document that we deem invalid (i.e., if any of the requirements are missing), we reserve the right to request a certificate of negative PCR-test for COVID-19 (SARS-CoV-2) that has been administered no more than 72 hours before the photography workshop/tour.

 

Until further notice, during the Covid-19 pandemic, these are the requirements of booking a photography workshop or tour with Viking International Phototours.

Refusal to comply with our requirements will result in your place on the workshop/tour being forfeited. In the instance that this occurs, refunds will be processed according to the following:

 

Photography Workshop

      • More than 60 days notice from the start date of the workshop: Full refund minus $300 USD fee
      • Less than 60 days notice: No refund 

Tour

      • 30 days or more notice: Full refund minus a 10% fee
      • Less than 30 days notice: No refund

 

In the event we are able to fill your spot on the workshop/tour, we will apply your funds (minus a $300 fee) as a credit that can be used toward our other photography workshops, self-drive packages, or tours in the following 2 years from the date of cancellation.
