Terms and Conditions

Viking International Phototours reserves the right to cancel bookings, change assigned tour guides, prices and tours being sold without prior notice. We reserve the right to change itineraries and/or schedules if deemed necessary because of road conditions, severe weather, or any other unforeseen circumstances. Bookings can be confirmed before the start of tour by sending us an email at info@vip-ehf.com or by calling us at +354 855 1191 (Iceland) or +1-615-305-2760 (USA).

Payments Accepted

We accept payments through Venmo, Zelle and Paypal, as well as Visa, MasterCard, American Express and Discover.  Full payment or a  deposit is required to secure your booking.  Full payment is  due 90 days before multi-day workshops unless otherwise specified.  Please let us know if you want to avail of our interest-free payment plans. 

Be aware that there is a 3% service charge when using Paypal.  Please feel free to contact us if you would like to discuss alternate payment options.

Booking procedure

All booking requests will be processed within 48-72 hours. Please include the preferred dates, tour guides and tour or custom itinerary requests. We will process booking requests in the order that they were received. Due to extremely high demand, not all tour guides and tour options may be available on your preferred dates. A surcharge can be added during peak season for incidental fees, special booking requests, and preferred tour guide options. If the preferred tour and services is not available, a service representative will be in contact with you about alternative tour options. All tours are done with Viking International Phototours or if necessary, with one of our trusted tour operator partners.

Cancellation Policy

We know that plans can change and unforeseen circumstances can happen.  We strive to provide the best customer service available and at the same time be able to give quality service and to our clients by keeping our workshop groups small and our tuition rates affordable.  Our cancellation policy ensures that we can keep our tuition rates affordable for future workshops so that we can continue to provide our clients with the best photography learning experience.  All cancellations shall be made in writing by email and sent to info@vip-ehf.com as soon as possible. 

Please be advised that our cancellation policy is different for private tours and for workshops.  Effective January 1, 2020, all cancellations and changes are subject to the following policy:

Private Tours

Clients booking private tours can cancel for a refund minus a 10% fee up to 30 days before the scheduled start date for the tour.  After this period has lapsed, cancellation requests and refunds will be processed according to the cancellation policy table below:

30 days or more: full refund minus a 10% fee

15 days or more: 50% refund minus a 10% fee

Less than 15 days: no refund 

Note: Funds can be transferred and used towards future tours or workshops with us for up to 2 years from the date of cancellation. 


For cancellations or changes made greater than 90 days before the workshop start date, we will refund your deposit minus a $300 processing fee if we are able to fill your spot. If we are unable to fill your spot, we will apply your deposit towards a future workshop or tour with us for up to 2 years from the date of cancellation. 

The are no refunds for cancellations or changes made less than 90 days before the workshop start date.  If we are able to fill your spot, we will apply your funds minus a $300 processing fee to future tours or workshops with us for up to 2 years from the date of cancellation. 

Viking International Phototours reserves the right to cancel or reschedule tours and workshops due to Force Majeure or impossible weather conditions where safety of the buyer cannot be guaranteed.   We will strive to make every attempt to reschedule the workshop or tour within 2 years of the original scheduled date.  No refunds will be given but participants will be reserved a spot on the rescheduled tour or will receive credit for use towards another workshop or tour.   

In the very unlikely event that a tour or workshop is canceled, we will refund the workshop fee to participants.  Expenses related to travel and accommodations not provided by VIP will not be refunded.   We require that you obtain Trip Cancellation & Travel Insurance after booking your trip with us.  Proof of coverage is required 90 days before the workshop starts.  Please contact us for any additional questions with regards to our cancellation and refund policy. 

Please note that some of our workshops with partner companies may have non-refundable deposits.  We will be happy to apply your deposit to another one of our future workshops instead. 

Pricing Policy

Please note that the tour prices listed on our website can change without prior notice. Surcharges and additional fees can be added during peak season for special requests, custom tours, preferred tour guide options and other tour add-ons. If there are any additional fees, Viking International Phototours will communicate these to the buyer prior to confirming any booking requests.

Taxes and fees

All prices on the website include VAT, where applicable, and invoices are issued with VAT as well.  However, prices do not include the 3% service change when booking through Paypal.


Viking International Phototours respects our clients privacy rights and will hold all information from the buyer in relation to the purchase as confidential. Under no circumstances will information be handed to a third party, except as required for billing and regular tour operations (e.g. hotel reservations, etc.).

Liability Waiver

All workshop and tour participants are required to complete a hold harmless liability waiver before the start of the tour. 


We advise all our clients to purchase a comprehensive travel insurance before traveling to minimize potential personal loss during your trip. Travel insurance is required to participate in our workshops.  Viking International Phototours will not be held liable for any loss, damage, injuries, illness or death during your tour. We will not be held responsible for changes in tour schedules because of weather or other natural calamity.


With all the uncertainty around us, we understand more than ever the need for personalized service and our impeccable attention to detail. In line with our personalized approach and our commitment to you, we have implemented several policies to keep you safe. 

We have masks and hand sanitizers available for our clients to use during tours and workshop if hand-washing stations are not available

Our photo guides are first aid, CPR and AED trained and certified by the Icelandic and US Red Cross and will conduct daily safety checks during the duration of the workshop

We will conduct a pre-workshop safety briefing with opportunities for our clients to ask questions.  

We will have social distancing policies in place whenever possible when shooting at locations.  We will keep 6 ft distance between clients as well as avoid large groups.

Our small groups also ensure that you have a safe environment to enjoy the beauty of nature.

We will continue to monitor the situation and ensure that we have the latest information on safety guidelines and prevention.
